Position Location:

This position is hybrid. Hybrid positions combine regular in-person presence at our Washington, DC office with the option of at least two days of remote work each week.

Responsibilities:

The Program Manager is responsible for the efficient coordination and execution of variety of open enrollment and custom educational programs for government and business executives.

Program Development, Coordination and Planning:

  • Engages in relationship management of programs for government and business executives.
  • Manages outreach efforts with Program Director to identify customer needs.
  • Identifies program speakers and research program topics for assigned programs.
  • Facilitates sessions/programs, as determined by Program Director.
  • Serves as trusted advisor to participants (i.e. interacts with participants to understand their needs, recommend courses, provide information on course content, explain services offered by WUB, resolve issues).
  • Provides input to marketing team on the development of promotional materials.
  • Conducts research on new issue areas, speakers and potential partner organizations.
  • Keeps abreast of issue areas related to program assignments and business development priorities.
  • Serves as liaison with speakers and faculty.
  • Researches and prepares customized program material.
  • Negotiates and manages program related contracts.
  • Responds to client requests.
  • Other tasks as assigned by supervisor.

Program Implementation & Logistics:

  • Is responsible for the effective and efficient coordination of the educational program, working on-site to manage logistics and to help resolve any problems that arise.
  • With Senior Staff and outside partner organizations, assists in the evaluation of programs and development of recommendations to improve future programs.
  • As appropriate, provides back-up for Senior Staff Members, accompanying groups to site visits and introduces guest speakers.
  • Actively engages participants and solicits referrals for other WUB programs.
  • Oversees venue selection and reservations, arranges transportation if required, handles meal planning, and ensures proper approval of contracts for external vendors.
  • Directs support staff in the preparation and distribution of participant information, including but not limited to pre-agenda, WUB program policies, program books, name tags, tent cards, and certificates.
  • Tracks program expenses against budget and keeps updated information on monies committed by the program.
  • Assures that financial obligations are in compliance with approved program budgets.
  • Other tasks as assigned by supervisor.

Team Leadership Responsibilities:

  • Actively engage in the organizational development of WUB.
  • Provide ideas for management and operational improvement.
  • Serves as a development resource for support staff in program planning, implementation and close out.
  • Serves as a back-up registrar as needed for the program.
  • Helps creates opportunities for WUB growth.
  • Volunteers to serve on problem solving tiger teams.
  • Interacts with Brookings research assistants to stay abreast of new research initiatives.

Qualifications

We’re looking for someone who is:

  • Resourceful & Adaptable: You’re comfortable in a fast-paced environment with ambiguity and event requirements that may change. As obstacles arise, you identify solutions.
  • Practical: You anticipate needs of a program and have already thought through answers to potential follow-up questions. Eye for details: You would notice if the name of your organization was spelled wrong, timelines overlapped on an agenda, or if a bio was outdated An Organizer: You’re comfortable with a hundred details and understand that each is important.
  • Customer Service Focused: You realize the customer may not always be right but communicate as if they are and are willing to make them feel heard. You would hustle when you notice coffee is running low or the room temperature is too high.

Education/Experience Requirements

Required:

  • Bachelor’s Degree. Minimum of five years of experience and/or Masters Degree with practical experience. Knowledge of Federal government and background in leadership, political science, government, public administration/policy or related field. Microsoft Office experience required, comfort with learning new software/tools preferred.

Preferred:

  • Background in and knowledge of Executive Education. Demonstrated commitment to public service.
